You can activate Suomi.fi Messages for your company, association or other organisation with a Finnish Business ID. Suomi.fi Messages is an electronic mailbox where you can receive official messages such as decisions, requests for additional information, invoices and other documents. However, not all authorities using Suomi.fi Messages send messages to companies or associations through the service.
You can also send messages and attachments from your organisation’s electronic mailbox to those organisations that allow incoming messages. You can learn more about how to use Suomi.fi Messages under the section Using Suomi.fi Messages.
Suomi.fi Messages for a company or an association can be used by:
persons who are signatories for the company or association, and have the right to represent it alone
persons who have been authorised by the company’s or association’s signatory using Suomi.fi e-Authorisations to represent the company or association.
The assignee should always log into e-services using a personal Finnish identification token, i.e. as themselves. If the assignee has the right to act on behalf of a company or organisation, they should choose the company on whose behalf they wish to act after identification.
Other than that, using Messages is the same as when acting as yourself. Please note that when using the Suomi.fi mobile application, you may only act on behalf of a company if you are a signatory entered in the company's trade register and you have the right to represent the company alone.
Acting on behalf of a company or association with an e-authorisation
The representative of a company may grant another person a mandate, i.e. the right to act on behalf of the company in Suomi.fi Messages. An e-authorisation can be described as an electronic power of attorney the details of which are entered into the national authorisation register. An authorisation cannot be limited to e.g. messages from a specific sender; the assignee can always see the entire contents of the mailbox.
The assignee can use Suomi.fi Messages according to the scope of the mandate granted in the following matters:
Management of electronic communications
The assignee may consent to the electronic transfer of messages, manage message settings, delete messages and read and send electronic messages on behalf of the assignor.
Reading and sending electronic messages
The assignee can read and send electronic messages on behalf of the assignor.
Reading electronic messages
The assignee may read electronic messages on behalf of the assignor.
Before you can activate Suomi.fi Messages for your company, you must identify yourself in the service. After this, you can act on behalf of your company and can activate Suomi.fi Messages.
Do as follows:
Log in to Suomi.fi using your own personal identification device. The Identification button is on the Messages page and in the top right corner of each Suomi.fi page. You can also download the Suomi.fi mobile application. You can find additional information on identification on the How to identify yourself in an e-service page.
Go to act on behalf of a company or organisation.
On the list, select the company on whose behalf you wish to act.
Go to the Messages page, if you are not logged in directly.
To begin using Suomi.fi Messages click on the "Activate Suomi.fi Messages for a company" button and fill in the information requested on the page that opens.
A verification email will be sent to the email address you entered in the previous section. To verify the company's email address, go to the Suomi.fi Web Service and enter the six-digit verification code you received in the message.
Note that the verification code is valid for one hour. If you do not make the verification by the deadline, start the Suomi.fi Messages activation again for the company. Suomi.fi Messages cannot be activated without verifying the email address.
After activating Suomi.fi Messages for your company, you can add additional email addresses to the company's electronic mailbox. Notifications about new messages will then be sent to these additional addresses.
Do the following if you want to add an additional email address to your company's electronic mailbox:
Log in to Suomi.fi using your own personal identification device. The Identification button is on the Messages page and in the top right corner of each Suomi.fi page.
Go to acting on behalf of a company.
On the list, select the company on whose behalf you wish to act.
Go to the Messages page, if you are not logged in directly.
Go to settings and add the desired email address by clicking the "Add email address" button under Message notifications.
