Accounting agencies: Do the following if your Suomi.fi e-Authorizations have disappeared

At this moment, there is a large number of contact requests to Suomi.fi customer service. Customers say that their customer companies have disappeared from the list of companies to be represented.

The most common reason for losing mandates is either the expiry of the mandate for transactions received from the customer company or the expiry of the mandate to represent granted by the accounting agency to an individual employee.

Suomi.fi e-Authorizations have a fixed-term nature

Several accounting agencies started using Suomi.fi e-Authorizations in 2018. Customer companies authorized accounting agencies to act on their behalf, for example, in MyTax or the Incomes Register.

The standard expiry date for mandates is 5 years. This is why several accounting agencies have noticed, in autumn 2023, that the mandates to represent granted and the mandates received from customer companies in 2018 have expired.

Suomi.fi services does not send a separate notification of expired mandates. This means that you need to monitor the expiry of mandates yourself. Each organisation must have an overview of the mandates it has granted and to whom they have been granted. Organisations must also consider that customer relationships and employment relationships may change or end. This is why the mandates and their validity periods must be monitored regularly.

How to check mandates

If you notice that a customer company has disappeared from the e-service, please, check whether the mandate for transactions the customer has granted to the accounting agency is valid. This can be done by

  • an accounting agency signatory
  • a person to whom the accounting agency has given a representative’s right to grant a mandate
  • a person to whom the accounting agency has given a mandate for transactions for seeing information in the authorisation register

Check the mandates received from the accounting agency's customer companies as follows:

  1. Use your personal identification tokens to identify yourself in Suomi.fi e-AuthorizationsOpens in a new window..
  2. Select: Company mandates.
  3. Select your accounting agency and continue to the e-service.
  4. Click on Received mandates.

You will see a list of all valid received mandates from customer companies. If any assignor, i.e. the customer company, is missing from the list, please, check the Expired mandates.

Please, also check whether your personal mandate to represent from the accounting agency is valid. Each employee of the accounting agency can check their personal credentials:

  1. Use your personal identification tokens to identify yourself in Suomi.fi e-AuthorizationsOpens in a new window..
  2. Select: Personal mandates
  3. Click on Received mandates

You will see a list of all valid received mandates. If your accounting agency is missing from the list and your mandate to represent has disappeared, please, check the Expired mandates. Please, also check whether only some of your mandates to represent have expired.

My mandates were found in Expired mandates, what do I do?

If the mandates have expired but you must continue to act on behalf of the customer company in question or you are still representing your accounting agency, your mandate must be reinstated.

Signatories for accounting firms or persons authorised by a representative may request mandates for transactions from customer companies. They may also grant the accounting agency employees a mandate to represent.

We recommend that you use the selection basket to renew the mandates that have expired or are about to expire so that you can use your services as smoothly as possible. The selection basket enables you to submit a mandate request for all mandate themes that have been valid before, for example.
